FingerTec vs Easy Clocking Australia: Which Time Clock Is Right for Your Business?

THE SHORT ANSWER

FingerTec is an on-premise system. Depending on the device you purchase, TCMSV3 standalone is included free, but TCMSV3 MySQL and Ingress MySQL carry separate software fees. There are no ongoing subscription fees. It runs on a Windows PC or server in your office and works well in clean environments.

Easy Clocking is a cloud-based subscription system. You get real-time dashboards, automatic Xero sync, GPS mobile clocking, and a fingerprint sensor that works even when hands are dirty.

Nexus Biometric is the authorised online reseller for both brands in Australia. Whichever you go with, you are buying from the right place.

Most businesses that come to us have already made up their minds on one thing: they are done with paper timesheets. What they are less sure about is which biometric time clock to go with. FingerTec or Easy Clocking. On-premise or cloud. One-off cost or monthly subscription.

Both are solid systems used by thousands of Australian businesses. Both will stop buddy punching and give you accurate records for payroll. But they work very differently, and the right choice depends on how your business actually operates.

This guide covers everything you need to make the call. Hardware, software, cost structure, integrations, and which type of workplace each system is genuinely built for.

The Hardware Range

FingerTec Devices

TA500. The most popular entry-level fingerprint time clock. Holds up to 2,000 fingerprints and 80,000 transaction logs. Has a four-hour battery backup if the power goes out. TCMSV3 software is included free. Works well for teams up to 100 people in offices, retail, or similar clean environments.

TA700W. A slim, Wi-Fi connected fingerprint device designed for small offices. Holds up to 1,000 fingerprints and 50,000 transaction logs. No battery backup. A different and more compact device than the TA500, suited to smaller teams in clean environments where wireless connectivity is preferred. TCMSV3 included free.

Face ID4. Facial recognition clock for completely touchless clocking. Good for hygiene-sensitive workplaces like medical or food service. TCMSV3 included free.

Face ID5. Advanced facial recognition with a five-inch screen and anti-spoofing protection. Depending on the software you purchase, it can also be used for door access control alongside time tracking. Supports TCMSV3 MySQL or Ingress MySQL Server.

R3. Fingerprint device that handles both time and attendance and door access control if purchased with Ingress MySQL software. Can be paired with an R2c slave reader for full door-in and door-out functionality.

Easy Clocking Devices

Xenio 50. Proximity card and RFID reader with a five-inch touchscreen. Staff clock in with a card or key tag. Best for clean office environments.

Xenio 500. The standout model in the range. Uses a multispectral fingerprint sensor that reads accurately even when hands are dirty, dusty, or oily. Built for warehouses, manufacturing, construction, and food production. Comes with a five-inch touchscreen, Wi-Fi and Ethernet, and real-time cloud sync.

Mobile App. Lets staff clock in and out from their phone using GPS Geofencing. You can see exactly where they were when they clocked on. Useful for construction sites, field workers, or businesses running across multiple locations. The mobile app also unlocks full leave management functionality within the Easy Clocking platform.

A note on dirty environments. Standard optical fingerprint sensors can struggle when hands are dirty, wet, or calloused. This covers most FingerTec models and the majority of other brands on the market. The Xenio 500 uses a multispectral sensor that reads beneath the skin surface rather than just scanning the top. In workshops, kitchens, and on building sites, that difference matters a lot.

How the Pricing Models Work

The two systems have fundamentally different cost structures, and this is often what tips a decision one way or the other.

FingerTec: One-Off Purchase

FingerTec is a one-off hardware purchase. Depending on the device, TCMSV3 is included free for standard time and attendance setups. If your needs go beyond that, such as a server and client setup or door access control, TCMSV3 MySQL or Ingress MySQL are available as separate software purchases. Either way, there are no ongoing subscription fees once you are set up.

The trade-off is that all your data lives on your office PC or server, which means you are responsible for backups and there is no cloud access if you are away from the office.

Easy Clocking: Monthly Subscription

Easy Clocking involves an upfront hardware cost plus an ongoing monthly subscription for the cloud software. The subscription covers your user licences, cloud data storage, real-time syncing, and access to the full feature set including Xero and MYOB integration.

For businesses that want live data, Xero automated payroll syncing, and the ability to check in remotely, most find the subscription pays for itself quickly in admin time saved. Head to our website for current pricing details.

Which model suits you? If you want certainty and simplicity with no ongoing costs, FingerTec is the easier financial decision. If you want automation, cloud access, and payroll integration that just works, Easy Clocking makes sense as an ongoing business tool rather than a one-off expense.

Software and Payroll Integration

This is where the two systems feel most different day to day. FingerTec gives you several software options depending on what your setup requires. Easy Clocking runs entirely in the cloud.

FingerTec Option 1: TCMSV3 (Included Free with Time and Attendance Devices)

TCMSV3 is a Windows application that runs on your office PC. It comes free with FingerTec time and attendance devices. You connect the clock to your PC, download the time records, run reports, and export data for payroll manually.

It is reliable and straightforward. The catch is that you have to be at your office to access it. There is no remote visibility, no mobile dashboard, and no automatic sync with MYOB AccountRight. You export a file and import it yourself.

FingerTec Option 2: TCMSV3 MySQL (Separate Software Purchase)

TCMSV3 MySQL is a server and client version of the software. It allows up to five computers to connect to one central server, making it better suited to larger organisations or businesses where multiple managers need access to the same attendance data at the same time.

Like TCMSV3, it is an on-premise Windows-based system. Payroll export is still manual. This is not included free and requires a separate software purchase.

FingerTec Option 3: Ingress MySQL (For Door Access Control Devices, Separate Software Purchase)

Ingress MySQL is used on FingerTec devices that handle both time and attendance and door access control, such as the R3. It manages both functions in one system and operates on a server and client basis similar to TCMSV3 MySQL.

If you need door access control alongside time tracking and want centralised management across multiple computers, Ingress MySQL is the right software for your setup. It is a separate purchase and not included with the device.

Easy Clocking: Cloud Platform

The Easy Clocking platform runs in a browser, so you can access it from any device, anywhere. Data updates in real-time as staff clock in and out. You can see who is in, who is late, and live hour totals without opening any software.

Payroll integrations: Xero is a direct integration, where work hours flow directly into your Xero payroll software. MYOB AccountRight for example is a manual file transfer.

Other features: Job costing to track hours per project or client, employee scheduling, out-of-shift alerts, and the GPS mobile app for anyone in the field. Full leave management, including leave request workflows, is available when using the mobile app.

Which System Is Right for You?

Go with FingerTec if...

You want a one-off cost with no ongoing subscription fees

You have a Windows PC or server at the office to run the software

You do not need remote or mobile access to your data

Your team is under 100 people

You need door access control alongside time tracking

You work in any environment with standard optical fingerprint needs

You are happy to export payroll data manually

Go with Easy Clocking if...

You want to see live data from your phone or laptop

You want Xero sync without any manual work

You need GPS mobile clocking for people in the field

You have staff across multiple locations or job sites

You want full leave management with request workflows (mobile app)

Your team works in dirty, dusty, or physical environments

You are comfortable with a monthly subscription model

Can You Use Both?

Yes, and some businesses do. A common setup is FingerTec in the office where conditions are clean and door access control matters, and Easy Clocking for the warehouse or field staff where the multispectral sensor and mobile app make more sense.

Because Nexus Biometric is the authorised reseller for both brands in Australia, you are not locked into one or the other. If your situation is genuinely mixed, give us a call and we can help you work out what makes sense.

Common Questions

Does FingerTec integrate with Xero or MYOB AccountRight?

Not automatically. FingerTec uses on-premise software on your office PC or server, and you export data manually and import it into MYOB yourself. If you want a direct integration with your payroll software, Easy Clocking is the better option.

Is Easy Clocking reliable in dirty or outdoor environments?

The Xenio 500 is. It uses a multispectral fingerprint sensor that reads accurately even when hands are dirty, oily, or calloused. Most other time clocks on the market, including standard FingerTec models, use optical sensors that can struggle in those conditions.

What is the difference between the FingerTec TA500 and TA700W?

They are different devices. The TA500 holds up to 2,000 fingerprints and 80,000 transaction logs, has a built-in four-hour battery backup, and suits teams up to 100 staff. The TA700W is a slimmer, Wi-Fi connected device that holds up to 1,000 fingerprints and 50,000 transaction logs, has no battery backup, and is designed for smaller offices. Your choice depends on team size, environment, and whether battery backup is important to you.

What software comes with FingerTec devices?

TCMSV3 is included free with FingerTec time and attendance devices and runs on a single Windows PC. TCMSV3 MySQL is available as a separate purchase for businesses that need a server and client setup with up to five connected computers. Ingress MySQL is available as a separate purchase for devices that also handle door access control. None of these options provide cloud access or automatic payroll integration.

What happens to my Easy Clocking data if I cancel the subscription?

If you cancel your subscription, Easy Clocking can retain your data on your behalf for a small ongoing fee. You will not have direct access to it, but if you ever need something from your historical records, you can contact us and we will pull it for you. It is worth factoring this in when making your decision.

Are employee fingerprints stored as images?

No. Neither FingerTec nor Easy Clocking stores a photograph or image of a fingerprint. The device scans the finger, converts the data into an encrypted mathematical template, and discards the original image. The template cannot be used to reconstruct a fingerprint. This is standard practice across all reputable biometric time clock brands.

Which system is better for a small business?

It depends on what your business needs. For teams that want simplicity and no ongoing costs, FingerTec is hard to beat. For small businesses that need Xero or MYOB integration, mobile clocking, or work in a physically demanding environment, Easy Clocking is usually worth it for the admin time it saves each payroll cycle.
